Onboarding

Effective onboarding, a key responsibility of managers, helps new employees quickly orient themselves, settle in, and integrate into the team, significantly impacting their relationship with the employer, colleagues, and overall approach to work.

 

When Does the Onboarding Process Begin?

A new employee forms their first impression during the recruitment process. Integration into the team practically starts even before their first day at work. Before signing the contract, the HR department sends the new hire a set of entry documents and the "Your Guide to MENDELU" brochure, which provides essential information about working conditions at MENDELU.

 

How Does the Onboarding Process Work?

We recommend creating an individual training plan, known as an onboarding plan, which outlines the step-by-step integration process:

  • Understanding job responsibilities – explanation of key tasks and duties.
  • Organizational and administrative matters – introduction to internal regulations, IT systems (intranet, attendance system, emails).
  • Introducing the team – welcoming the new employee, meeting colleagues and supervisors.
  • Workstation setup – allocation of a computer, phone, and system access.
  • Health and safety training – mandatory workplace safety and fire protection training.
  • Familiarization with the university environment – tour of key facilities (canteen, library, IT support).

To support a smooth transition, a mentor is assigned—an experienced colleague from the same or a related field—who is available to the new employee during their first days and months, ideally throughout the first year. The mentor provides both technical and informal support, helping the newcomer navigate work processes and university operations.

 

Feedback and Evaluation

Encouragement and feedback are essential for every newcomer. During the probationary period, and no later than its conclusion, a discussion should take place to assess the employee’s progress and overall adaptation experience. The onboarding plan can then transition into a personal development plan, followed by regular annual performance reviews to ensure continuous professional growth.
